COD Cash-Flow & Reconciliation: Track What Couriers Owe and Settle Payouts

In cash-on-delivery selling, couriers collect your money and pay it back on their own schedule — so it is easy to lose track of what you are owed. The COD Cash-Flow & Reconciliation dashboard shows exactly that: what couriers have collected, what is still in transit, how old the unpaid amounts are, and a near-term forecast of cash in and out. When a courier deposit lands, you tick the relevant shipments and mark them settled. It draws on your shipments, expenses and purchase orders, and is available with the Couriers module.

The headline numbers

The top of the page summarises your position: Owed by couriers (delivered orders not yet paid out), In transit / pending (COD still on the way), Expenses unpaid, POs due (30d), and a Projected net that nets expected inflows against those outflows. A date range adjusts the figures for the period you care about.

Breakdown, aging and forecast

Three panels turn the numbers into insight. COD breakdown splits collected, in-transit and returned amounts. Unsettled COD aging buckets what you are owed by age — 0–7, 8–14, 15–30 and 30+ days — so overdue payouts stand out. Near-term forecast projects expected inflow (what couriers owe plus in-transit COD) against outflow (purchase orders due and unpaid expenses).

Reconciling a courier payout

The Unsettled COD — ready to reconcile table lists delivered shipments the courier has not paid out yet, with tracking, customer, courier, COD amount and how many days old it is. When a deposit arrives, tick the shipments it covers and click Mark settled; they drop off the list and your owed total updates. A per-courier breakdown shows which carriers owe you the most.

    Open COD Cash-Flow

    Find it under Finance (the Couriers module must be enabled).

    Check what you are owed

    Read “Owed by couriers” and the aging buckets to spot overdue payouts.

    Forecast your cash

    Use the near-term forecast to see expected inflow against POs and expenses due.

    Match a deposit

    When a courier pays out, find the matching delivered shipments in the unsettled table.

    Mark settled

    Select those shipments and click Mark settled to reconcile them.

Frequently asked questions

Where does “Owed by couriers” come from?

It is the total COD on shipments that are delivered but not yet marked settled — money the courier has collected from buyers but not yet paid you.

Does the date range affect the unsettled list?

No. The KPI cards and charts follow the selected range, but the “ready to reconcile” table always shows all currently unsettled COD so nothing is missed.

Can I undo a settlement?

Marking settled is meant to mirror a real payout, and a shipment already settled cannot be settled again. Settle in batches that match each deposit to keep your records accurate.

Troubleshooting

The page says the feature is not in my plan.

COD reconciliation is part of the Couriers module. Enable it or upgrade — see Subscription & Plans.

A delivered order is not in the unsettled list.

It may already be marked settled, or its shipment status is not yet “delivered”. Confirm the shipment status first.
