WhatsApp Broadcasts: Segmented Bulk Messaging That Protects Your Number
3 min read
Broadcasts let you message a segment of your customers at once — a win-back for lapsed buyers, a promotion, or an announcement. You build the audience from filters, write one message (personalised with the customer’s name), and the platform sends it on a deliberately slow schedule to protect your WhatsApp number. Blocklisted and opted-out customers are always excluded automatically. Broadcasts share your connected WhatsApp account with the conversational inbox and order updates.
Building your audience
Start from all your customers and narrow with optional filters — how recently (or not) they ordered, number of orders, total spend, risk band, city, a tag, or only customers with a delivered order. A live count shows how many people match as you adjust the filters. Customers who have replied STOP (opted out), who are blocklisted, or who have no valid phone number are removed automatically, and very large audiences are capped.
Why sending is paced
Sending hundreds of messages in a burst is the fastest way to get a WhatsApp number banned. To keep your number safe, broadcasts leave a gap of roughly 30–50 seconds between each message and send a limited number per day; a large audience simply continues automatically over the following days. This is intentional — every message still goes out.
Tracking delivery
Each broadcast has its own page with a live progress bar and Audience / Sent / Failed counters, plus a per-recipient table showing who has been sent, who failed and who was skipped (for example, someone who opted out after the list was built). You can cancel a broadcast that is still in progress to stop any remaining sends.
Step-by-step
-
1

Give the campaign a name and write the text; use {customerName} to personalise it.
-
3

Apply filters and watch the live match count; leave filters blank to reach everyone eligible.
-
4
Send
Confirm the recipient count to queue the broadcast — sends begin immediately, paced for safety.
-
5
Monitor progress
Follow the sent/failed counters and per-recipient status on the broadcast page.
Frequently asked questions
Why is my broadcast taking so long to send?
It is paced on purpose. A safe gap between messages and a daily limit protect your number from being banned; large audiences continue over subsequent days until everyone is reached.
How do customers opt out?
They reply with a stop word (such as “stop” or “unsubscribe”). They are then excluded from all future broadcasts automatically, while still receiving their own order updates.
Will the same person be messaged if they are in two broadcasts?
Yes — each broadcast has its own recipient list. Use filters thoughtfully to avoid over-messaging your customers.
Troubleshooting
I cannot start a broadcast.
You need an active connected WhatsApp account. Connect one under WhatsApp CRM first.
No customers match my segment.
Your filters are too narrow, or eligible customers were excluded as opted-out, blocklisted or without a phone. Loosen the filters and check the live count before sending.
